Optimizing Your Time For Better Time Management
A key method of making full and proper use of your time is to prioritize the goals you first need to achieve. This will help you to improve your time management skills.
Prioritization is essential.
Most of the time, many of us feel that we have too many things to do and too many requirements to fulfill. When we feel overwhelmed, some of us often just give up and choose to do nothing as an alternative, or just do the first thing that comes into our heads, or even something which makes us feel better such as some of the less important things on our to do lists. At times, when feeling overwhelmed, there is a temptation to sulk and complain about the load of work we have. Mind you, complaining is not necessarily a bad thing. In fact, airing out our feelings can be very healthy. There’s a fine line, however, between constantly complaining and blowing off steam. Yes, we do need to let out our emotions every so often. But when we use this excuse to delay work, then we are simply wasting our precious time and indulging in poor time management.
Remember when your parents told you that you can never turn time back? (Well, hopefully they did!) Growing up, I personally thought what my grand parents told me about this was a bit of a yawn. Yes, we could never take time back. So what? Big deal! Only when I had responsibilities of my own did I realize what this statement really meant. Finally, I caught on with the wisdom of experience. Knowing that I had too many things to do with too little time helped me realize just how precious each moment is. The more time we waste, the more our tasks will pile up. If we keep putting off things for tomorrow, we might end up with responsibilities up to our necks. There’s this word in Spanish that some people use. The act of putting things off is called the mañana habit. By definition, this Spanish word simply means tomorrow. Having to constantly convince ourselves that we can do things tomorrow is a type of habit that everyone should get rid of. Are you a today person or a tomorrow person? Perhaps you might be the rarer ‘yesterday person’.
What on earth do I mean by ‘yesterday person’?
It starts off with the concept – ‘get it done yesterday’; meaning get it done real fast and now etc. That’s part of the meaning. How soon do you need it? Yesterday is the reply….I am sure some of you have heard this from time to time.
There’s more…take a moment to consider this….getting something done yesterday metaphorically means that it is already done and does not need completing. Some people are way ahead of the pack and are so well organized that they anticipate and act accordingly. Their todays go very well and are built upon a series of good yesterdays. These people think about what they need to do in future and structure things so as to get more of tomorrow’s work done today. They did a lot of today’s work yesterday.
Have you ever thought deeply about what you do and asked yourself things like this:
1) Do I need to do this task?
2) Is there another way of doing this more efficiently?
3) Is there something I am not seeing?
4) Am I imagining that a task will take x number of time units? Do I really have the full facts?
When you become more efficient, delegate, eliminate the unnecessary and get the full facts of a situation then you will be doing a lot less in your todays. Or perhaps you will be using the time saved to get more done today!
How exactly do we allot the time for each and every responsibility? How do we achieve everything while still having time for ourselves? Like everything important in our lives, it starts with a list. When we have a list, we are able to see the bigger picture. Then, you need to set your personal and business goals. Below each goal are the steps we must undertake to get to the end.
Once the list is made, put it somewhere you will see it. Make sure that you regularly review it. Life places so many demands on each of us. When we don’t look at the list, we will definitely forget about it in our attempt to meet each new demand. Often, we forget to take care of ourselves. We work ourselves to the bone, until we become exhausted.
It is therefore important to optimize our time simply because we have to take care of ourselves. We need time with our loved ones and we need some place to recuperate from all the stress. A key aspect to fully relaxing is when we know that we haven’t left anything half done. Celebrate life and do it now! This is only possible when we grasp the importance of time and act accordingly.
